1. Who we are

Doorkeep is a property management tool for UK landlords, operated by Shawn Radcliffe. For data protection purposes, we are the data controller. We are registered with the Information Commissioner's Office (ICO) under reference ZC138271. You can contact us at hello@doorkeep.co.uk.

2. What data we collect

We collect the following personal data:

  • Account data: name, email address (via Clerk authentication)
  • Property data: property addresses, rent amounts, property types, UPRN, purchase details
  • Tenant data: tenant names, contact details, tenancy dates, deposit scheme and reference, pet request records
  • Financial data: rent payments, expenses, receipt images, bank statement uploads, rent increase proposals and tribunal outcomes
  • Compliance data: certificate types, expiry dates, notes, PRS Database readiness scores
  • Document service records: RRA Information Sheet delivery records, Form 4A rent increase notices, tenant correspondence — including timestamps, recipients, and proof-of-delivery metadata
  • Evidence Vault data: timestamped records of landlord actions — document service, compliance decisions, pet request responses — retained as your audit trail
  • Issue reports: maintenance issues reported by tenants, including names and photos if provided
  • Payment data: processed by Stripe — we do not store card numbers

3. How we use your data

  • To provide the Doorkeep property management service
  • To send transactional emails (welcome, plan confirmation, issue notifications, compliance reminders)
  • To serve the RRA Information Sheet to your tenants on your behalf and log proof of delivery
  • To validate rent increase timing under Section 13 / Form 4A rules
  • To track pet request deadlines and record your responses
  • To process subscription payments via Stripe
  • To submit your financial data to HMRC and generate tax exports
  • To measure conversion events (sign-up, checkout, purchase) via Google Ads for advertising performance — no personal data is shared with Google

We do not sell your data. We do not use your data for advertising. We do not share your data with third parties except as described below.

4. Third-party services

We use the following services to operate Doorkeep:

  • Clerk — authentication and user management
  • Supabase — database hosting (EU region)
  • Stripe — payment processing
  • Resend — transactional email delivery
  • Vercel — application hosting
  • Google Ads / Google Tag Manager — conversion tracking for advertising performance

Each of these services has their own privacy policy and processes data in accordance with their terms.

5. Data retention

We retain your data for as long as your account is active. If you delete your account, all associated data (properties, tenants, issues, expenses, compliance records, and subscription data) is permanently deleted. You can download a copy of all your data from the Billing page before deleting your account.

6. Your rights

Under UK GDPR, you have the right to:

  • Access your personal data (via the data export on your Billing page)
  • Rectify inaccurate data (by editing records in the dashboard)
  • Erase your data (by deleting your account)
  • Port your data (via JSON export)
  • Object to processing or withdraw consent

7. Cookies

We use essential cookies for authentication (Clerk session) and security. We also use Google Ads conversion tracking (via Google Tag Manager) to measure the effectiveness of our advertising — this tracks anonymised conversion events (sign-up, checkout, purchase) but does not identify you personally. 8. Security

All data is transmitted over HTTPS. Database access is protected by row-level security policies. Payment data is handled entirely by Stripe and never touches our servers. Authentication is managed by Clerk with industry-standard encryption.

In the event of a data breach affecting your personal data, we will notify the Information Commissioner's Office and HMRC within 72 hours and contact affected users without undue delay. To report a security concern, email hello@doorkeep.co.uk.

9. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email. The latest version is always available at this page.
